CFOA Board of Directors Job Responsibilities

These job responsibilities are basic in structure and should serve as a guideline and a brief summary of the position indicated. They are not intended to be all-inclusive of every task involved. There will be additional descriptions in the future for positions that are not listed here.

PRESIDENT DUTIES

Bylaws’ Statement:
The President:

1. It shall be the duty of the President to preside at all membership meetings of the CFOA, to execute all rules and regulations which pertain to the CFOA’s business or organization, and to assure the association is operating within all FHSAA or other sanctioning body guidelines, rules and regulations. He/She shall make such appointments, with concurrence of the Board of Directors, as deemed necessary for the good of the organization. He/She shall serve as ex-officio member of all committees. He/She shall preside at the meetings of the Board of Directors.
2. The President shall have the authority to call a General Membership or Board of Directors meeting.

General Responsibilities:

  • Preside over Board of Directors Meetings
  • Work in conjunction with and/or oversee the activities of the BOD to ensure the active participation and communication of the CFOA is transparent.
  • Work as liaison coordinate/disseminate information from FHSAA to respective Vice-President(s) and follow up as necessary to ensure completion of such information
  • Review CFOA website (in conjunction with Vice-Presidents) to ensure required information, general information and key dates are consistently updated (Registration Date for State, Training Dates, Exam Dates, Make – Up Exam Dates, State Clinic(s) date(s), Date of Season start, Playoff Dates)
  • Work in conjunction with the Treasurer as needed regarding any financial matters.
  • Work in conjunction with the Secretary to create and sign necessary CFOA Athletic Contracts for our schools
  • Work in conjunction with the Secretary to ensure proper communication to CFOA members.
  • Liaison to all our client schools as needed. (Attend county meetings with respective Vice-President(s)/Booking Officer(s) as requested)
  • Coordinate presentation and preside over the Annual Meeting (Location, Date, and Time), ensure proper notification is sent by Secretary to CFOA members.
  • Serve as ex-officio member of all committees.
  • Remember this position (and the BOD) is in place to serve the members of the CFOA therefore attendance of meetings/functions and availability to the members is critical to success

ARBITER COORDINATOR DUTIES

General Responsibilities:

  • Attend and be actively involved in board meetings.
  • Work in conjunction with the Vice Presidents and Treasurer to send key dates to the President to be updated each year on CFOA website (template on CFOA website).
  • Submit/Record final game counts for all payroll(s) and reconcile with Treasurer.
  • Submit final game counts for all BOD members and numbers of officials to the President for Annual Meeting Information.
  • Help organize Meetings and/or State Clinic sessions
  • Assist with all Training Classes, Clinics and issuing/tracking of Handbooks, Policy and Procedure manuals as needed.
  • Back Up yearly information (in a user friendly functioning manner).

Responsibilities by Month:
July:

  • Clear Arbiter information, mark all officials “not ready”, supply VP’s with list of officials who need updated fingerprints.
  • Verify with Treasurer Officials who owe money and update payroll deductions to reconcile.

August:

  • Verify and Update:  Athletic Directors / Head Coaches as required.
  • Coordinate with VP Football / Treasurer add all new football officials.

September:

  • Coordinate with VP Basketball / Education Chair Person for Class Training, Tracking and information.

October:

  • Prepare Football first payroll run:  Reconcile schedules by Arbiter Quality Control Check and Booking Officer including Excel Spreadsheet for; dues / and adjustments for schedules send to Treasurer.

November:

  • Prepare Football second payroll run:  Reconcile schedules by Arbiter Quality Control Check including Excel Spreadsheet for; dues / and adjustments for schedules send to Treasurer.

December:

  • Prepare Football playoff final payroll (reconcile for travel and adjustments) send to Treasurer.
  • Prepare Basketball first payroll run:  Reconcile schedules by Arbiter Quality Control Check and Booking Officer including Excel Spreadsheet for; dues / and adjustments for schedules send to Treasurer.
  • Lake County MS Flag Football:

Prepare Complete Season payroll run:  Reconcile schedules by Arbiter Quality Control Check and Booking Officer including Excel Spreadsheet for; dues / and adjustments for schedules send to Treasurer.
January:

  • Any necessary follow up from earlier activity.

February:

  • Prepare Basketball second payroll run:  Reconcile schedules by Arbiter Quality Control Check including Excel Spreadsheet for; dues / and adjustments for schedules send to Treasurer.

March:

  • Prepare Basketball playoff and final payroll (reconcile for travel and adjustments) send to Treasurer.
  • Lake / Osceola County  MS Basketball:
  • Prepare Complete Season payroll run:  Reconcile schedules by Arbiter Quality Control Check and Booking Officer including Excel Spreadsheet for; dues / and adjustments for schedules send to Treasurer.

April:

  • Prepare Flag Football first payroll run:  Reconcile schedules by Arbiter Quality Control Check and Booking Officer including Excel Spreadsheet for; dues / and adjustments for schedules send to Treasurer.

May:

  • Prepare Flag Football second payroll run:  Reconcile schedules by Arbiter Quality Control Check including Excel Spreadsheet for; dues / and adjustments for schedules send to Treasurer.
  • Osceola County MS Flag Football:

Prepare Complete Season payroll run:  Reconcile schedules by Arbiter Quality Control Check and Booking Officer including Excel Spreadsheet for; dues / and adjustments for schedules send to Treasurer.

  • Prepare Sign-In Sheets for Annual Meeting Attendance and requested information to President for the Annual Meeting.
  • Update the FHSAA Profile and Arbiter to reflect the New Board of Directors.
  • Update FHSAA (C2C) password for accessing the Muster Report for the CFOA.

June:
End of Season: 
Run all Reports:

  • Roster- All Officials.
  • Payroll- All Sports.
  • Game Report-All Sports.
  • School Invoice Reports-All Sports.

Delete (Save Record):

  • Payroll Information.
  • Game Information.
  • Information of Officials who will be deleted from Arbiter (have not worked).
  • Make all Officials “NOT READY” in preparation for next year records.
  • Coordinate with Treasurer the payment for Arbiter next season and update password accordingly.

Volleyball

Volleyball Vice-President Duties

Bylaws’ Statement:

The Vice-President shall:

  1. In the absence of the President, preside at meetings, including those of the Board of Directors.  The longest consistently serving vice president shall serve in the president’s absence at any function.
  2. Serve as liaison between the CFOA and the schools it serves for the administration of education clinics.
  3. Oversee their respective sport’s sub-committee and the education and training of the membership of the CFOA,
  4. Establish the appropriate education/training curriculum for new officials.
  5. Inform the Board of Directors of duly qualified officials.
  6. Establish and maintain contact with FHSAA or other applicable sanctioning athletic organization on all matters dealing with education and certification of officials in his or her specific sport of sports.
  7. May appoint a Director of Education for his or her respective sport.  The Education Directors shall be responsible for their respective educational programs and shall operate under the authority of each sport’s Vice President and the Board of Directors.

General Responsibilities:

  • Attend and be actively involved in board meetings
  • Work in conjunction with the Member at Large and send key dates to the President to be updated each year on CFOA website.  Registration Date for State, Training Dates, Exam Dates, Make-Up Exam Dates, State Clinic dates, date when season start, Playoff Dates.
  • E-mail all referees being considered for Playoff Crews to get their availability.
  • Finalize list of playoff crews along with Recommendation Chairperson
  • Ensure list of playoff crews submitted to the state before the due date
  • Submit final game counts to the state with the assistance of Volleyball At-Large Member
  • Coordinate/organize Meetings and/or State Clinic sessions and Leadership Conference
  • Member of the Finance Committee with other Vice-Presidents of other sports
  • Coordinate with Volleyball At-Large Member to create State required committees (Evaluation, Recommendation, Grievance, Assignment) with appropriate numbers for each committee.
  •   Remember this position (and the BOD) is in place to serve the members of the CFOA therefore attendance of meetings/functions and availability to the members is critical to success

VOLLEYBALL AT-LARGE MEMBER DUTIES

Bylaws’ Statement:
At Large Members shall interact with members and be a spokesperson on their behalf as well as perform all duties as assigned by the Vice President of their respective sport.

General Responsibilities:

  • Attend and be actively involved in board meetings.
  • Work in conjunction with the Vice President to send key dates to the President to be updated and each year on CFOA website (template on CFOA website):  Registration Date for State, Training Dates, Exam Dates, Make – Up Exam Dates, State Clinic(s) date(s), Date of Season start, Playoff Dates.
  • Assist VP of Volleyball as needed to E-mail all referees being considered for Playoff Crews to get availability
  • Finalize list of playoff crews along with Volleyball Vice President
  • Ensure list of playoff crews submitted to the state before the due date
  • Assist VP of Volleyball with final game counts for the state
  • Help organize Meetings and/or State Clinic sessions
  • Assist with Policy and Procedure manuals
  • Help Volleyball Vice President put together State required committees (Evaluation, Recommendation, Grievance, and Assignment) with appropriate numbers for each committee
  • Assist Football Vice President put together State required committees (Evaluation, Recommendation, Grievance, and Assignment) with appropriate numbers for each committee

VOLLEYBALL ASSIGNMENT OFFICER

The Assignment Officer(s) shall:

The Assignment Officer(s) shall make all assignments or oversee all assignments, to all interscholastic athletic events of schools served by the CFOA for his/her sport. He/She shall notify officials and schools of their assignments. He/She shall comply with FHSAA or other applicable sanctioning athletic organization assignment requirements and shall compile all data necessary for the rating of members. All assignments are subject to review by the Assignment Committee.

General Responsibilities:

  • Attend and be actively involved in board meetings
  • Send out e-mails to Athletic Directors well in advance of the season to obtain schedules. Continue to call and e-mail Athletic Directors in order to get schedules in a timely manner
  • Enter schedules into arbiter.
  • Submit schedules to members two weeks to a month in advance. Giving members notice to block dates on arbiter and the opportunity to see their schedules well in advance of their games.
  • Work in conjunction with the Member at Large and Vice President to double check key dates to give to the President to be updated each year on CFOA website (template on CFOA website):  Registration Date for State, Training Dates, Exam Dates, Make – Up Exam Dates, State Clinic(s) date(s), Date of Season start, Playoff Dates.
  • Assist with the final list of playoff crews along with Recommendation Committee VP/At-Large Member
  • Have input with Coordinating/organizing Meetings and/or State Clinic sessions
  • Have input for Vice – President regarding the budget
  • Assist with VP and At - Large Member to create State required committees (Evaluation, Recommendation, Grievance, Assignment) with appropriate numbers for each committee
